For convenience, here are the most important studio policies:

Mat Classes
• Cancellations must be made at least 2 hours before class start time
• Late cancellations or no-shows for Unlimited Memberships incur a £5 fee

Reformer Classes
• Cancellations must be made at least 24 hours before class start time
• Late cancellations or no-shows result in the loss of the class credit

Private Sessions
• Must be booked at least 48 hours in advance
• Cancellations require 24 hours’ notice
Group reformer private sessions require 48 hours’ notice

Class Pack Extensions
• A 1-month extension can be purchased for £30
• Must be requested within 7 days of the pass expiry date

Memberships
4-month minimum commitment
10 days’ notice required to cancel
• Members may request a 10-day freeze every four months with 10 business days’ notice

Studio Entry
• Entry is via the Momence app door system
Late entry is not permitted
• Clients must arrive before class starts and check in on the iPad on arrival

GENERAL

By purchasing a class, pass, membership, private session, workshop or event at PYC Studios, you agree to the following Terms & Conditions.

PYC Studios reserves the right to update these Terms & Conditions at any time.

All bookings and account management are handled through our online booking platform Momence.

STUDIO ACCESS

PYC Studios operates a self-entry system connected to the Momence app.

Clients must use their Momence account to access the studio.

Clients are responsible for ensuring they have access to the Momence app and sufficient phone battery in order to enter the studio.

The studio door automatically locks shortly after the class start time. Late entry is not permitted. Clients must arrive before the class starts, otherwise they will not be let in.

On arrival, clients must check in on the studio iPad by selecting their name from the class list.

BOOKINGS

All classes must be booked through the Momence booking system.

Clients are responsible for managing their bookings and cancellations through their Momence account.

Failure to cancel a booking within the required cancellation window will result in the applicable cancellation policy being applied.

PYC Studios reserves the right to change class schedules, teachers, services or equipment when necessary.

Such changes do not entitle clients to refunds for unused passes or memberships.

WAITLISTS

If a class is fully booked, clients may join the waitlist through Momence.

If a space becomes available, clients may be automatically added to the class.

For Reformer classes, clients may be moved from the waitlist into the class up to 24 hours before the class start time.

For Mat classes, clients may be moved from the waitlist into the class at any time before the class begins.

If a client is added to a class from the waitlist, the standard cancellation policy for that class type will apply immediately.

CLASS PACKS

Class packs allow access to a specific number of classes within a defined validity period.

Class packs are:

  • valid only within their stated validity period
  • personal to the named account holder
  • non-transferable and non-refundable

Class packs may apply to Mat classes, Reformer classes or Fusion passes, depending on the package purchased.

Class Pack Extensions

If you need additional time to complete your class pack, a 1-month extension may be purchased for £30.

  • Extensions apply to class packs only
  • Extensions do not apply to memberships, introductory offers or private session packages
  • Extensions must be requested within 7 days of the pass expiry date
  • After purchasing an extension, clients must email the studio so the extension can be applied manually

MEMBERSHIPS

Memberships operate on a rolling monthly autopay basis and require a minimum commitment of four (4) months.

Memberships renew automatically unless written notice of cancellation is provided at least 10 days before the next billing date.

Membership Freeze

Members may request a freeze of up to 10 days every four months, provided that 10 business days’ written notice is given.

Unused classes included in memberships do not roll over.

Memberships are personal to the named holder and cannot be shared or transferred.

CANCELLATION POLICY

Cancellation policies vary depending on the type of class.

Mat Classes (Yoga & Mat Pilates)

Mat classes require 2 hours’ notice to cancel.

For class packs:
Late cancellations will result in the class being deducted from the pass.

For Unlimited Memberships:
Late cancellations or no-shows will incur a £5 fee.

Reformer Classes

Due to the limited capacity of reformer classes, cancellations must be made at least 24 hours before the class start time.

Late cancellations or no-shows will result in the loss of the class credit.

Fusion Passes

Fusion passes combine Mat and Reformer classes.

Cancellation policies apply according to the type of class booked:

  • Mat classes – 2-hour cancellation policy
  • Reformer classes – 24-hour cancellation policy

PRIVATE SESSIONS

Private sessions are available for:

Yoga

  • Mat Pilates
  • Reformer Pilates
  • Duo sessions
  • Small group sessions

Private sessions must be booked at least 48 hours in advance.

Cancellation

  • Private sessions require 24 hours’ notice to cancel
  • Group reformer private sessions require 48 hours’ notice to cancel

Late cancellations or no-shows will be charged in full.

Private session packages are non-transferable and non-refundable.

INTRODUCTORY OFFERS

Introductory offers are available to new clients only and are limited to one purchase per person.

Introductory offers:

  • cannot be extended
  • cannot be transferred
  • cannot be refunded

WORKSHOPS & EVENTS

Workshops and special events may have separate cancellation policies, which will be stated at the time of booking.

Unless otherwise specified, workshop bookings are non-refundable.

REFORMER SAFETY

Reformer Pilates involves specialised equipment and small-group instruction.

Clients must follow the teacher’s instructions at all times when using reformer equipment.

Clients must inform their teacher of any injuries, medical conditions or pregnancy before class begins.

PYC Studios reserves the right to refuse participation in a reformer class if it is considered unsafe for the client.

REFORMER EQUIPMENT USE

Clients must use all reformer equipment responsibly and only as instructed by the teacher.

Any intentional misuse or negligent damage to equipment may result in the client being responsible for repair or replacement costs.

LATE ARRIVAL

For safety and to avoid disruption, late entry is not permitted.

Clients must arrive before the class start time. Once the class has started, entry will not be allowed.

This is particularly important for Reformer classes, where proper warm-up and equipment safety are required.

HEALTH & LIABILITY

Clients participate in all classes and activities at their own risk.

Clients should inform their teacher of any injuries, medical conditions or pregnancy before participating in a class.

PYC Studios and its teachers accept no liability for injuries sustained during classes, except where required by law.

PYC Studios is not responsible for the loss or theft of personal belongings.

Here at The Power Yoga Company we take your privacy very seriously and will only use your personal information to administer your account and to provide the products and services you have requested from us.

PERSONAL INFORMATION

SECURITY

We aim to provide all clients from the Power Yoga Company with a safe shopping experience. For all our online transactions we use a system called Momence. Momence encodes your credit card and contact details to ensure their safe transfer to us.

We are committed to making sure that your information is secure. To avoid unauthorised access or disclosure, we have in place physical, electronic and management procedures to safeguard and secure the information we collect from you. However, please note that no system is ever completely secure.

CHILDREN UNDER THE AGE OF 13

We do not knowingly collect personal data from children under 13 years or under the applicable age limit (the “Age Limit”). If you are under the Age Limit, we will contact your parents for consent.

SHARING INFORMATION

Your personal privacy is very important to us, and we do not share it with third-parties.

DATA RETENTION

Your personal information will be retained for as long as is necessary to carry out the purposes set out in this privacy policy (unless a longer retention period is required by applicable law). In general, this means that we will keep your personal data for as long as you have an active PYC account.

Access -You may have the right to access and receive a copy of the personal information we hold about you by contacting us using the contact information below. Additionally, you can manage your preferences within the “˜My Account’ section of our site.

Change, restrict, delete – You may also have rights to change, restrict our use of, or delete your personal information. Other than in exceptional circumstances, (like where we are required to store data for legal reasons), we will generally delete your personal information upon request.

Object – You can object to (i) our processing of some of your information based on our legitimate interests and (ii) receiving marketing messages from us after providing your express consent to receive them. In such cases, we will delete your personal information unless we have compelling and legitimate grounds to continue using that information or if it is needed for legal reasons.

Systems are password protected and professionally administered.

  • We only allow ourselves access to our systems.
  • The computers on which we store information are kept secure by a number of different measures, by a professional hosting company.
  • We take all reasonable precautions to protect your information, but data can never be guaranteed 100% secure.
  • If our systems are compromised in some way, before data is removed then data may be revealed but thankfully, such an event is generally considered highly unlikely.
